1. Go into Report Generator and enter a Report ID and Report Title. Then click in the File Name field and then “F6″ for an alphabetical list of all the files on which you can report.

2. You can also get a list in tabular form from the DockMaster Help. Go to Help/Contents - System Admin/DockMaster Data Files. Here we break the files down by module and you can print the list.

1. When entering a credit memo you can select tab 4 – A/R Invoices and apply the credit memo directly to an invoice at the time of entry. No zero check processing is required.

2. In Accounts Payable, when entering an invoice you can select tab 5 – Debit Memos and apply the invoice directly to a credit invoice at the time of entry. Again, no zero check processing is required.

1. Go to the A/R module and select Cash Receipts Entry

2. Create a new batch, enter the customer number and then enter the reference number of the cash receipt that you want to reverse. You must enter the reference number for this to work properly. If you don’t know it you can access AR Invoice Inquiry to look it up.

3. You will be prompted that the cash receipt has already been posted would you like to reverse it?

4. Click “Yes” and the cash receipt will be reversed with all the expected accounting entries.

A feature that has been added to the Service module to facilitate the billing of Time and Material operations by an ending date. Here we will provide an overview of how to select the Time and Material jobs, print the pro forma invoice, approve, and then process the Bill as of Date invoice. It is not meant to be a detailed step by step process of how to perform this billing function. This feature can be added to DockMaster 6.2.34 or higher.

Preparing Time and Material Jobs to Bill

An internal process should be defined as to when a job is ready to be billed as of a certain date. A good rule to follow is to select a day each week to review previous work entered onto the work orders.

Many DockMaster clients have a weekly meeting with service staff to review Performa invoices and statuses of current open work orders. Then based upon an internal process they determine what jobs should and should not be billed as of a certain date.

Billing the Time and Material Jobs

Once the approved Performa invoices have been reviewed and you are ready to bill them. There are two paths to billing the work order, both work the same way.

From the billing tab one would accept or change the Default Statement Description, the Default Bill to Address, the Billing Date, the Bill as of Date and then you enter the date as annotated on the Performa invoice to bill the approved charges. Deposits should be applied if any exist.

Once the op-codes are selected and any adjustments, discounts, environmental fees, or other charges are added you can confirm that the Charges summary matches the Performa as approved and then bill the work order.
